Instructions

The following steps will guide you through how to migrate loyalty points from a third-party loyalty app to store credits using Koin. Since each store setup is different and depends on the loyalty app you previously used, some steps may vary. If you need assistance, please contact the Koin support team via the support channel inside the app — we’re here to help!

Step 1: Export and download CSV file containing your customers' loyalty points data

Go to the Customers section in the loyalty app you previously used. Although different apps may vary, most loyalty apps include a Customers section in their dashboard, so you should be able to find it easily.

Look for the Export CSV file option in the dashboard.

However, please note that for some reasons, most apps hide the export CSV function/button, so you may need to contact the app's support team for assistance.

Download the customers' loyalty points CSV file.

Step 2: Download the CSV template from Koin Cashback & Store Credit

Open Koin and go to Credit Adjustment.
Click Adjust store credit, then select Bulk adjust.

Select Credit under Adjustment type, then click Download CSV Template.

Step 3: Edit the data fields to match the CSV template format from Koin

Open the CSV file you just downloaded from Koin to review the required data fields.

Open the CSV file you downloaded from the loyalty app and modify it to match the data fields in Koin's template.

In this example, we assume 1 loyalty = 1 store credit.

However, if your store uses a different conversion rate, you can copy the data into a new Excel file and calculate it easily with the formula below:

ℹ️ Total store credits of a customer = Total current points ÷ X

(X = number of points equivalent to 1 store credit)

Example: If 200 points = 1 store credit, a customer with 4,000 points will receive 20 store credits

After the conversion, copy the result into the Amount column in the CSV template then upload it back to Koin to complete the migration.

Step 4: Upload the edited CSV file to automatically convert points into store credit

Go back to Koin and upload the edited CSV file.
Click Apply to start the process.

Once the process is complete, loyalty points will be automatically converted into store credits.

Note: For customers who don’t have any loyalty points to convert, the system will display an error message, which you can safely ignore.
